Responsibilities
Vacancy Status: Existing position
Reporting to the Business Manager, School of Education and Health, this position provides program support and contributes to the day-to-day operation of the program by collaborating on the following duties:
- Provide confidential and comprehensive administrative support of the School of Education's hybrid and concurrent programs:
- Organize and participate in meetings, reserve space (classrooms, meeting rooms, etc.)
- Support the School of Education/École d’éducation’s Administrative Assistant in the preparation of minutes, prepare, produce and distribute documents.
- Maintains program files and assists in generating reports and potential accreditation reports,
- Establishes and coordinates an information/data collection process to track student grades, drop-out rates and program enrollment statistics
- Assists the Program Coordinator in the preparation of course approvals and implementation (making copies, forms, posting canceled classes, etc.), schedule planning (preparation, changes and updates to courses and schedules, etc.),
- Provide administrative support to the School’s Placement Coordinator
- Provide support to the Program Coordinator in relation to office functions
- Collaborate with the Coordinator and the School of Education administration as required to address academic issues.
Program Budgets
- Prepares and processes budget transfers and requests
- Prepares work orders, time sheets, etc., in consultation with the Program Coordinator
- Maintain budgets in consultation with the Program Coordinator
Serves as the contact person for the Program
- Respond to inquiries by phone, mail, e-mail and in person
- Organize, produce and handle program materials and modify them as required
- Provide basic information about the programs offered, and direct questions to the person responsible
Special Events and Advertising
- Assist in the planning and organization of special events, student workshops, conferences, guest speakers, trips etc.
- Assist in maintaining and updating web pages
- Produce, create, update and assist in the production of marketing materials
Provide assistance to students
- Inform students of various workshops, opportunities, contests, seminars and other educational activities
Perform other duties as assigned.
Qualifications
- Grade 12 and a minimum of two(2) years of post-secondary education;
- Professional language skills to provide adequate French language support to the Program (writing documents with minimal errors).
- Computer software skills (Web Pages, Microsoft Suite, Colleague, WebAdvisor, Google Workspace, Adobe,).
- Office administration skills (taking minutes, typing, record keeping, sorting mail and email, responding to inquiries)
- Knowledge of Laurentian University policies and procedures (finance, registrar, etc. to assist students and faculty)
- Ability to work fluently (verbal and written) in both official languages, French and English, is required.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
