Visit the Laurentian International Office

If you meet the eligibility criteria for an exchange, your next step is to schedule an in-person or virtual appointment with the Laurentian International Office. This mandatory meeting must take place before you submit your exchange application.

Get Support

  • International Office: The International Office provides guidance on selecting a destination, choosing courses, navigating the credit transfer process, and participating in re-entry debriefings.
  • Academic Advisor: Before applying for an exchange, it is essential to consult with an academic advisor either within your current faculty or the faculty you intend to join. Your advisor will help determine whether you have room in your degree plan for an exchange, how the exchange may impact your academic progress or graduation timeline, and which term would be most suitable for your experience.

Research Accommodation

  • On-Campus Housing: Some host institutions offer residence options for exchange students. If available, you may apply for on-campus housing after you have been officially accepted into the exchange program.
  • Off-Campus Living: Many host institutions provide resources and recommendations for off-campus accommodation, including listings and contacts for trusted housing providers and property management companies.

Understand Costs and Financial Assistance

  • Partner Institution Costs: While tuition is paid to Laurentian, some partner institutions may charge incidental fees such as bus passes, gym memberships, or student union fees.
  • Exchange Cost: As an exchange student, you will continue to pay full-time tuition and associated fees to Laurentian University (based on 15 credits per term). Students with registered accommodations may be eligible for reduced tuition.
  • Financial Assistance: Students participating in an exchange program remain eligible for OSAP. In addition, a variety of scholarships and grants are available to support international exchange experiences.
  • Additional Costs: Be prepared for extra expenses, including airfare, visa applications, accommodations, local transportation, travel insurance, and emergency funds.

Acceptance and Preparation for Departure

Prepare to Go Abroad

Pre-departure preparation: As part of your preparation for studying abroad, you are required to attend the Pre-Departure Orientation organized by Laurentian International.

  • These sessions are offered each term and are mandatory for all students participating in an international exchange.
  • The orientation provides essential information on a range of topics, including travel logistics, safety and security, health considerations, cultural awareness, and other practical tips to help you prepare for your time abroad.

Please note: Attendance at the Pre-Departure Orientation is a mandatory requirement for formal approval to participate in international travel. This session ensures you are fully informed and equipped to make the necessary arrangements for a successful exchange experience.

Obtain a Study Permit/Visa

  • Immigration requirements vary by country. To determine the specific documentation needed for your host country, you must contact the visa or consular office of that country located in Canada.
  • It is your responsibility to obtain all necessary documents, such as a study permit or visa, to legally enter and remain in your host country for the full duration of your exchange.

Important: Visa and permit application processing times can be lengthy. To prevent delays, it is strongly recommended that you begin the application process at least three months before your planned departure date.

Arrange for Accommodation

  • Exchange students are encouraged to arrange their accommodation through the host university’s International Office or Student Services. These offices often provide valuable support in securing on-campus housing or offer guidance and resources for finding off-campus accommodations. Utilizing these services can help ensure a smooth and reliable housing arrangement during your exchange.
  • If you plan to live on campus, be sure to review and adhere to the application deadlines for student housing at your host institution. On-campus accommodation is often limited and allocated on a first-come, first-served basis.
  • For detailed information about accommodation options, application procedures, and other student services, please visit your host institution’s official website.

Arrange for Health & Travel Insurance

It is essential to secure comprehensive health and travel insurance that covers the entire duration of your exchange, including any travel planned before or after your academic term. Your coverage should include medical emergencies, hospitalization, and repatriation, as well as trip interruption or cancellation, where applicable.

Make Travel Arrangements

Do not book any flights or make non-refundable travel arrangements until you have received your official Letter of Acceptance from the host institution. This ensures that your exchange placement is confirmed and helps avoid unnecessary changes or cancellations.

Manage Your Finances

Proper financial planning is essential for a successful exchange experience. Be sure to:

  1. Check the Exchange Rate
Familiarize yourself with the current exchange rate for your host country’s currency to better understand the value of your funds abroad.
  2. Create a Budget
Develop a comprehensive budget that accounts for accommodation, transportation, meals, academic materials, travel, and personal expenses during your stay.
  3. Carry Local Currency
Arrive with a small amount of local currency on hand to cover immediate expenses such as transportation, meals, or incidentals upon arrival.

Emergency Preparation

Before departing for your exchange, it is essential to be prepared for emergencies:

  1. Maintain Emergency Contacts: Keep a record of emergency contact information for both Laurentian International and your host institution. Ensure this information is easily accessible throughout your time abroad.
  2. Secure Important Documents: Photocopy key documents, such as your passport, visa, insurance details, and learning agreement, and store the copies in a location separate from the originals. This precaution can help facilitate quicker assistance in the event of loss or theft.

During and After the Exchange Program

While on Exchange

  • Laurentian International remains available to provide additional support and guidance throughout your exchange.
  • As a representative of Laurentian University, you are encouraged to engage with students at your host institution who may be interested in participating in future exchange opportunities.
