Responsibilities
Vacancy Status: Existing position
The Advancement Officer supports the implementation of strategic priorities within the Office of University Advancement. Reporting to the Manager, Advancement this position provides coordinated support across both philanthropy (development) and alumni engagement initiatives. The Advancement Officers responsibilities include communications, organizing events, website updates, and database management. This role is integral to the team’s success in fostering strong relationships with our alumni and donors.
1.Communication & Engagement Support
- Develop, draft, and coordinate communication materials including newsletters, email campaigns, social media content, and event messaging.
- Support communication strategies related to fundraising initiatives and alumni engagement.
- Track engagement metrics and provide recommendations to improve reach and effectiveness.
- Ensure consistency and quality of messaging across Advancement initiatives.
2. Event Coordination & Execution
- Coordinate and support the planning and execution of Advancement events, including donor-funded lectures, alumni events, convocation-related activities, and engagement initiatives.
- Manage event logistics, including vendor coordination, communications, timelines, and attendee tracking.
- Support post-event follow-up, reporting, and stewardship activities.
3. Website & Digital Content Management
- Maintain and update Advancement-related website content to ensure accuracy, relevance, and user-friendly navigation.
- Coordinate timely posting of news, events, and engagement opportunities.
- Identify opportunities to enhance digital presence and user experience.
4. Data Management, Research & Strategic Support
- Actively work within the Advancement database (Ellucian/Colleague) to support alumni engagement and fundraising activities.
- Pull, analyze, and interpret data (e.g., lists, engagement metrics, campaign results) to inform planning and decision-making.
- Conduct research on alumni, donor, and philanthropy trends to support strategic initiatives.
- Support the development and implementation of internal processes and guidelines. (e.g., event planning, volunteer engagement, stewardship practices)
- Act as the primary liaison with Marketing and Communications for Advancement-related materials, coordinating requests, tracking progress, and ensuring timely delivery aligned with team priorities.
5. Administrative Support & General Duties
- Tracks and reconciles budgets and expenses as required.
- Responds independently or as directed to correspondence, including email messages.
- Collaborate with team members across Advancement and other departments.
- Performs other duties related to this position as assigned.
Qualifications
- University degree in a related field.
- Three (3) to five (5) years of related experience.
- Knowledge of Datatel as an asset.
- Excellent organizational, communication, and interpersonal skills.
- Strong ability to collaborate with internal and external partners.
- Ability to work independently and collaboratively as part of a team.
- Experience in event planning.
- Must be enthusiastic, courteous, patient, and articulate.
- Strong attention to detail.
- Possess strategic and analytical skills with the ability to prioritize multiple tasks.
- Comprehension of the budgetary process.
- Valid driver’s license and reliable transportation for travel.
- Ability to work fluently (verbal and written) in both official languages, French and English, is [required].

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
