Postering Guidelines

These guidelines are intended to guide and govern appropriate, effective and consistent postering across all display boards on Laurentian University property.

Scope

This postering policy will apply to all the following areas and forms of postering on Laurentian University property.

Forms of Postering

  • Posting of notices, posters, signs, flyers
  • Election posters
  • Emergency notifications
  • Temporary signs for special events:
  • Conferences, concerts, fundraising tables
  • Designated Campus Areas for Postering
  • Bulletin boards
  • Campus infrastructure

Definitions

For the purpose of these guidelines, the following definitions apply:

  • “Posters” represents notices, advertisements, decals, flyers and other documents that are   posted on Laurentian University property.
  • “Designated Display Areas” refers to areas officially approved by the University such as bulletin boards or clearly marked wall spaces.

Submitting a poster

All posters must be submitted electronically using the Poster Approval Request form. Once a poster is approved, it may be printed and added to a poster board by the organization requesting the approval.
 

Poster Approval Criteria

All criteria outlined below must be adhered to in order for posters to be approved:

5.1 A direct reference including the name of the internal Laurentian University sponsor (department/office, employee group or recognized student association/club) should be clearly stated on the poster. Please identify the internal Laurentian University group responsible for this poster. Posters from external organizations are generally not permitted, though exceptions may be granted to organizations hosting public events on campus.

5.2 A direct contact should be clearly stated on the front of the poster, along with contact information. This individual and accompanying group shall be responsible for providing complete and accurate information if required.

5.3 Use of the Laurentian University logo must conform to Laurentian University marketing standards. Please refer to the university branding guidelines. Permission to utilize the visual identities of the university are required.

5.4 Posters may not exceed 11” X 17” in size.

5.5 Where the principal messages are in another language, the poster shall include a translation in either English or French or both. Posters created by Laurentian University departments are required to be presented in both French and English. The translation of posters is a responsibility of the organization sharing the poster.

Designated Areas

5.6 Laurentian University permits limited postering. This amount corresponds to the allotted dimensions the Designated Display Areas dimensions can comfortably accommodate. Posters can be placed up to 30 days in advance of events.

5.7 Posters may only be displayed in Designated Display Areas on campus.

5.8 Each Designated Display Area may contain no more than one poster for each event or matter advertised.

5.9 Some poster boards or panels are reserved exclusively for certain campus departments or organizations and are labeled accordingly.

5.10 Posting over, or removing existing posters, is not permitted.

5.11 Posters shall be removed promptly after an event by those responsible for the issuance of the poster.

Special circumstances

5.12 During student elections, candidates will be allowed to post election posters throughout the University in specially identified spaces. Posters shall be removed the day following the election.

5.13 Emergency notices regarding facility or security shall be temporarily posted on walls in high traffic areas. These postings shall be removed by those responsible for the issuance of the posting.

5.14 Class cancellation, course relocation etc. postings must be displayed on a classroom door or an adjacent wall for an applicable period of time.

5.15 Temporary external signs are permissible for special event wayfinding. However, they must be removed immediately following the event.

Restrictions

5.16 Posters shall not be placed on windows, doors or painted surfaces within University premises.

5.17 Postering is not permitted outdoors on university property.

5.18 Permanent adhesive substances or those that prevent poster removal are prohibited.  

5.19 Posters and documents relating to class instruction or other use of the teaching space are permitted. These notices are not required to conform to the bilingual communications policy. However, they shall be removed upon vacancy of the classroom.

5.20 Posters with content seen as offensive towards a particular group or person may not receive approval.

Removal of Posters

5.21 Posters that are displayed on Laurentian University campus in contravention of these guidelines will be removed. The cost of poster removal and repair of any damage caused by those breaching these guidelines may be charged to those responsible for issuing the poster.

5.22   The Communications Office reserves the right to suspend future postering privileges for groups who fail to comply with these guidelines.
