Responsibilities
Reporting to the Manager, Payroll, the monthly Payroll Clerk is responsible for assisting in all aspects of payroll processing for monthly pay cycles. This position is also responsible for processing Laurentian University’s unionized and non-unionized employees payroll, including balancing payroll, reconciliations of payroll accounts, preparing required fillings and processing year-end.
- Responsible for Administration
- Administer the monthly pay.
- Interpret contract changes for Senior and Academic Administrators and Faculty including impact on salary, pension and benefits.
- Analyze and process all types of Assignment Contracts.
- Track Sabbatical Leaves and calculate salary changes, as required.
- Process complex yearly LUFA salary increases including progress through the Ranks, Merit, Chair Stipends, and other changes as per the Collective Agreement.
- Enter new employee information into Ellucian.
- Process changes/updates in accordance with the LUFA Collective Agreement.
- Respond to employee enquiries by answering questions and requests.
- Responsible for payroll analysis and correspondence
- Resolve payroll discrepancies by collecting and analyzing information.
- Prepare necessary reports by compiling and reconciling data.
- Prepare and process documents regarding university benefits.
- Process required fillings, including but not limited to source deductions, WSIB, EHT, union dues, FRO/Garnishments.
- Maintain payroll operations by following policies and procedures.
- Responsible for compliance with legal and regulatory requirements
- Respond to enquiries by Senior Leaders, Business Managers and employees, answering questions and requests.
- File legal remittances.
- Record of Employment, Family Responsibility Office Payments, Garnishee.
- Collaboration and cooperation
- Maintain employee confidence and protect payroll operations by keeping information confidential at all times.
- Contribute to team effort by assisting other payroll clerks as required.
- Perform other duties as assigned.

Qualifications
- Two (2) year college certificate or equivalent required.
- Diploma in business or accounting preferred.
- Payroll Compliance Practitioner (PCP) certification is required or in progress.
- Three (3) to five (5) years of computerized payroll experience, performing full cycle payroll in a unionized environment is an asset.
- Advanced knowledge in excel spreadsheet software.
- Ability to perform calculations quickly and accurately.
- Solid knowledge of relevant federal and provincial legislation, policies and regulations.
- Proficient computer skills with working knowledge of relevant software (MS-Word, Colleague Payroll, Google Workspace).
- Excellent communication abilities with aptitude in problem-solving.
- Ability to deal with sensitive and confidential situations.
- Demonstrated ability to work effectively with minimum supervision and meet deadlines.
- Exceptional multitasking and organizational skills.
- Ability to work fluently (verbal and written) in both official languages, French and English, is required.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
