Responsibilities

Reporting to the Manager, Laurentian Online, the Examination Support Clerk is responsible for providing administrative support to the Laurentian Online examination staff  and ensuring the continuity of exam-related operations. Key duties include answering phones and responding to emails, updating tracking sheets, invigilating exams, and preparing and mailing out exam packages to centers/invigilators. The clerk is also responsible for entering accommodations and completing other assigned tasks. 

Communication Support

  • Taking incoming calls and addressing inquiries from students and instructors regarding online examinations, registration processes, procedures, and general information.
  • Responding directly to emails from students and instructors about key information concerning exams for online courses.
  • Drafting and sending mass or individual communications concerning important exam updates, reminders, deadlines, and policy changes.

Administrative Support and Tracking

  • Maintaining and updating detailed tracking sheets used to monitor various stages of the exam process.
  • Assisting the Online Exam staff with general administrative tasks as needed to maintain operational efficiency.

Exam Logistics

  • Serving as an invigilator for various examinations to ensure compliance with academic integrity policies.
  • Putting together physical exam packages and coordinating their mailing to external centres or approved invigilators.
  • Accurately entering and managing approved accessibility accommodations for students into the relevant systems.

Other Responsibilities

  • Perform other duties as assigned.

Qualifications

  • College Diploma (2 years) in Office Administration, business or a relevant field of study is preferred.
  • One (1) to three (3) years of related work experience.
  • Demonstrated initiative, organizational skills, and high attention to detail.
  • Proven ability to prioritize and multi-task to meet deadlines.
  • Ability to work under pressure in a high volume.
  • Strong interpersonal skills.
  • Strong computer skills with demonstrated ability to create, maintain, spreadsheets
  • Ability to work independently and as a member of a team.
  • Knowledge of university policies and procedures.
  • Ability to work outside normal operating hours during examination periods. 
  • Ability to work fluently (verbal and written) in both official languages, French and English, is required.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
