Responsibilities

Vacancy Status: Existing position

Reporting to the University Librarian, the Manager, Library Operations directs  the day-to-day administration and functional delivery of Library & Archives services. The Manager leads the operational team, overseeing staff training, scheduling, and performance to ensure service points are effectively resourced to meet the needs of the university community. By managing internal workflows and coordinating with various departments within the University, the Manager facilitates reliable access to collections and research assistance for students, faculty, and external researchers.

Operations Management

  • Manages scheduling, planning, promotion, recruitment, and organization of processes; handle client services and pressure situations; evaluate and coordinate operations; make operational decisions.
  • Prioritizes service points and staff availability to maintain effective operations, adjusting schedules as needed.
  • Coordinates project tasks to ensure timely delivery within budget, maintain accurate operations documentation, and address daily problems involving staff, students, and patrons.
  • Investigates complaints related to personnel or library accounts and oversees public-facing services, including room rentals and accessibility at various library locations.

Staff Management  

  • Leads and supports a team of full-time, temporary, and part-time staff and  participates in the hiring process including onboarding, identifying training needs, and conducting skill updates to enhance work practices and customer service.
  • Manages student employees by overseeing recruitment, hiring, discipline, onboarding, training, scheduling, and payroll.
  • Evaluates operational performance to identify and resolve process issues promptly, aiming to improve service quality, productivity, and efficiency.
  • Provides guidance and recommendations to staff while ensuring the successful completion of tasks and workflows. 

Budget Management 

  • Oversees the Library and Archives department's budgets, including forecasting, planning, managing purchases, and payroll for part-time staff.
  • Manages accounts payable and receivable, invoicing, and payment collections. Communicate with academic content vendors and contractors.
  • Supervises the Administrative Assistant in tracking budget entries and establishes effective procedures for this task.
  • Addresses any issues related to accounts payable and receivable in collaboration with the Finance Department and external vendors. 

Space Management 

  • Supervises and manages physical spaces, including auditing, tracking, and strategizing floor planning and arrangements.
  • Ensures accessibility to library materials and spaces, fostering a positive and safe learning environment for all patrons.
  • Manages facilities such as the J.N. Desmarais Library, Archives, Architecture Library, and Education Resource Center, ensuring maintenance and reporting issues as needed.
  • Ensures the safety of all individuals within the facility, including staff, students, and community members.
  • Oversees wayfinding, signage, access control, and emergency management to improve the overall work environment. 

Other Duties

  • Performs other duties within the professional scope and skill level of the position, in full compliance with applicable legislation, university policies, and collective agreements. 

 

Qualifications

  • Bachelor’s degree in a generalist degree or related field. 
  • Five(5) to eight(8) years of relevant experience.
  • One(1) to three(3) of experience in a management role or similar experience. 
  • Excellent verbal and written communication skills.
  • Demonstrated problem-solving, attention to detail, and conflict resolution skills.
  • Excellent organizational and time management skills; ability to meet deadlines.
  • Excellent analytical and critical thinking skills.
  • Proven ability to manage multiple projects and priorities simultaneously in a fast-paced environment.
  • Experience in managing institutional records, adhering to retention policies, and ensuring data integrity.
  • Proven ability to handle, secure, and analyze large research datasets in accordance with privacy and security protocols.
  • Proven ability to work independently with minimal supervision, take initiative, and collaborate effectively within a team environment.
  • Proven discretion and sound judgment when managing highly confidential business, financial, or personnel data. 
  • Knowledge of experience working with collective agreements / unionized environments.
  • Experience in analyzing staffing needs, recruitment processes, and developing strategies to meet future talent requirements for operational needs.
  • Demonstrated ability to create, manage, and report on departmental budgets, including forecasting future financial needs and resource allocation. 
  • Ability to work fluently (verbal and written) in both official languages, French and English, is required.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
