Responsibilities
Reporting to the Manager, Applicant Services, the Senior Admissions Officer (SAO) is the subject matter expert for admissions and communications functions in the Ellucian Colleague (Datatel) environment. As the coordinator, the SAO primarily supports transfer credit development and the research, development, and coordination of articulation agreements across the University. The SAO contributes to policy development for the Admissions Office and provides advanced guidance on transfer credit and admission evaluation. The SAO assesses applications and prepares recommendations on admissions decisions for the Group B Applications portfolio within approved policy and guidelines. The SAO also serves as a campus resource on admissions processes, data, and compliance.
Transfer Credit & Equivalency Coordination (25%)
- Serve as the Admissions Officer primarily supporting transfer credit development, including rules, frameworks, equivalency maintenance, and documentation in Colleague.
- Coordinate complex domestic and international credit evaluations and course equivalencies; maintain equivalency tables and articulation rules in Colleague.
Admissions Policy Development & Governance (15%)
- Contribute to the drafting, revision, and stewardship of admission-related policies, procedures, and evaluation rubrics; with support from the Manager, Applicant Services, maintain the Admissions Operations Confluence.
- Conduct environmental scans and reviews of postsecondary institutions in Ontario; analyze outcomes data to recommend policy improvements that support access, equity, and academic quality.
- Ensure alignment with Senate-approved regulations, collective agreements, and applicable legislation.
Articulation Agreements: Research, Development & Coordination (20%)
- Supporting the research, development, coordination, and maintenance of articulation agreements (from internal approvals to external partner signatures) in collaboration with Faculties, the Registrar’s Office, and external institutions.
- Coordinate curriculum mapping and credit-limit/standing analyses; draft transfer pathways and agreement language; maintain the centralized inventory and review cycle.
- Monitor partner performance and student success metrics; recommend renewals, revisions, or retirement of agreements.
Admissions Adjudication: Group B Applications Portfolio (20%)
- Assess the Group B Applications portfolio using approved criteria and rubrics; verify prerequisites, GPA calculations, and program-specific requirements; adjudicate on admission decisions.
- Apply equity-aware admission practices; lead the admissions process for admissions to the Bachelor of Indigenous Social Work.
- Prepare rationales and recommendations for deferrals, refusals, or exceptions; implement approved decisions and coordinate timely, bilingual applicant communications.
Stakeholder Support, Training & Communication (10%)
- Contribute to the development of training materials and resources for Program Coordinators, Deans and Admissions staff on policies, systems, workflows, and data quality; support delivery led by others; contribute to Registrar‑led initiatives as assigned.
Ellucian Colleague/ Fusion Admissions & Communications: System Stewardship (5%)
- Serve as the primary resource and subject matter expert for Colleague admissions and related communication modules (e.g., application processing, evaluation workflows, communication plans, document imaging/records, reporting).
- Configure, test, and optimize admissions processes, communication templates, and rules; coordinate and participate in UAT and post-upgrade validations; maintain data integrity and quality controls.
- Build and maintain dashboards and routine/ad hoc reports to support decision-making and compliance; document configurations and standard operating procedures (SOPs).
- Collaborate with IT, Institutional Planning, and leaders of the Registrar’s Office to troubleshoot issues, optimize integrations, and maintain strong record integrity.
Applicant Experience and Service Coordination (5%)
- Provide guidance to Admissions Officers and other university evaluators (e.g., Program Coordinators); assist with escalations within established processes; recommend updates to defined equivalencies and rules.
Qualifications
- Bachelor’s degree (4‑year) in Education, Business Administration, Communications, Data/Information Systems, or a closely related field.
- 5–7 years of progressively responsible admissions experience in a university setting, including international credential evaluation and transfer credit assessment.
- Demonstrated functional leadership with Ellucian Colleague (Datatel) for admissions and communications, including configuration, testing, reporting, and data quality.
- Experience coordinating articulation agreements and curriculum mapping with domestic and/or international partners.
