Process Excellence Specialist, Transformation Implementation Office

Responsibilities

The Transformation Program aims to provide the systems, processes and policies to best support the University’s academic and research mission. This involves creating processes that use modern technology to drive operational efficiency and reduce manual work. The Process Excellence Specialist is a key member of the Transformation Implementation Office (TIO), and is responsible for overseeing the review of processes, systems and procedures as identified in the transformation plan. 

Working closely with the Transformation Team, senior managers and staff, the Process Excellence Specialist analyzes current practices and develops business processes aligned with Laurentian’s technology strategy. This work may involve changing workflows, structures, and teams to improve service delivery performance.

The Process Excellence Specialist utilizes industry-leading quality improvement methodologies such as Lean, Agile, Six Sigma, and Total Quality Management to drive operational efficiency and reduce manual tasks. This role is instrumental in fostering a culture of continuous improvement within the TIO, working closely with workstream leads and departmental staff to build and enhance their continuous improvement capabilities.

The Process Excellence Specialist stays abreast of industry trends and best practices, promoting innovation, collaboration, and effective cross-functional partnerships within the University. This position is essential in supporting Laurentian’s academic and research mission by leveraging modern technology and strategic improvements to achieve operational excellence.

 

  • Document and analyze business processes and procedures within the scope of the Transformation Plan to enhance productivity through technology solutions;
  • Engage with stakeholders to analyze the current state of operations, identify problems, envision an improved future state, and document steps to achieve that future state;
  • Communicate ideas and opinions on process improvements to the Transformation Team, Executives, and other key stakeholders;
  • Collaborate with stakeholders to achieve objectives, integrate services, and foster partnerships across the continuum of service delivery;
  • Focus on improving processes that deliver value from a client’s perspective, using methodologies such as Lean;
  • Apply internal research and benchmarking information to establish norms, standard operating procedures, and key performance indicators;
  • Assist in identifying, selecting, and analyzing quality-related performance indicators to monitor organizational, program, and departmental performance in alignment with transformation and strategic direction;
  • Provide training, mentoring, and guidance to team members in the review of processes and implementation of improvements;
  • Advance a culture of continuous improvement that supports organizational goals by creating opportunities for employees to collaborate, innovate, and develop;
  • Stay up-to-date with developments in quality management and process optimization techniques;
  • Commit to creating and maintaining an equitable, diverse, and inclusive working environment;
  • Perform other duties as assigned.

Qualifications

  • Undergraduate degree in Economics, Business Administration, Public Administration, Commerce, or a related field;
  • More than five years of experience in overseeing continuous improvement programs for large not-for-profit organizations (post-secondary preferred); 
  • Certification in Lean, Agile, Six Sigma, and/or Total Quality Management (TQM); 
  • Proven experience in process improvement, business analysis, or project management roles;
  • Demonstrated success in leading process optimization projects and initiatives;
  • Experience in a consulting role or in a large, complex organization is preferred; 
  • Proficiency in process mapping and analysis tools;
  • Strong data analysis skills and familiarity with statistical software;
  • Advanced knowledge of ERP systems and workflow automation tools; 
  • Strong analytical skills to identify inefficiencies and areas for improvement;
  • Ability to think critically and solve complex problems creatively and effectively; 
  • Strong project management skills, including planning, execution, and monitoring of improvement initiatives;
  • PMP (Project Management Professional) certification is advantageous;
  • Excellent written and verbal communication skills;
  • Ability to effectively communicate and present complex concepts to diverse audiences;
  • Strong interpersonal skills to build relationships and work collaboratively with stakeholders;
  • Proven ability to lead cross-functional teams and drive change;
  • Experience in mentoring and training team members on process improvement methodologies and tools;
  • Ability to adapt to a rapidly changing environment and manage multiple priorities;
  • Experience in conducting customer feedback sessions and incorporating insights into process improvements;
  • Ability to work fluently (verbal and written) in both official languages, French and English, is required.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
