Database Analyst, Institutional Planning and Analysis

Responsibilities

Reporting to the Director of Institutional Planning, the Database Analyst will be responsible for supporting the Institutional Planning office and staff in delivery of all services, functions and mandates related to its institutional data holdings including data creation, maintenance, verification and integrity. This position will assist in updating data holdings, design and regular maintenance of the IP data environment. This role will also provide innovative and effective methods to support the reporting and analysis requirements of the office for a variety of stakeholders (internal and external) providing accurate and timely information for university planning.

Data Holdings Maintenance and Upgrades 

  • Create, maintain, verify and update Institutional Planning office data holdings; 
  • Use their expertise to import, process, develop and export data in and out of various database management systems including but not limited to SQL Server, Excel, Access, MySQL, SPSS and Tableau; 
  • Skilled in VBA and macro programming to assist with the transposing and manipulation of the variety of data formats in use in the office; 
  • Provide support for SQL Server development including programming/data preparation; and regular and timely internal DataMart updates using SQL Server including but not limited to information holdings for admissions, courses/marks, administrative surveys (NSSE, OUGS, CGPSS, HYS), academic programs and graduates (degrees granted). 

Data Holdings Creation and Development 

  • Offer ideas, troubleshoot and provide solutions related to data presentation, data analysis, data manipulation, SQL/Tableau programming; 
  • Support the objectives of the IP office with respect to data needs either through available datasets or required development work; 
  • Use their expertise to create and design new data holdings; and 
  • Support staff in the creation and design of new data holdings through expertise in database design, user and/or business needs requirements. 

Analysis

  • Utilize internal DataMart to provide desired reports as it relates to decision making and planning activities including ad-hoc requests and internal office analysis; 
  • Create and organize the data visualizations to provide IP stakeholders with effective and useful information in Tableau, Excel, Word or other communication methods to support their planning needs; 
  • Prepare data and analyses to disseminate information reports as required to internal and external stakeholders; 
  • Support the reporting requirements of the IP office to Executive Team and Leadership Team (Administrative and Academic) through timely communications; 
  • Provide data reconciliation and calculations related to the FTOT, core operating grant, funding corridor, enrolment caps and allocations, enrolment projections and support for the Director in budget consultation and analysis; 
  • Provide custom and regular information on admission, enrolment, engagement, retention data, survey analysis, and other information as needed to support recruitment and enrolment management; participate in the Council of Ontario University Planning and Analysis Survey committee as an observer to learn of updates being made to surveys. 

Tableau Cloud and User Support 

  • Provide individual or group training, ad-hoc requests, interpretation of user requests on an ongoing basis; periodically update established Tableau workbook reports with current data and presentation requirements (e.g. tables/visualizations) for which internal staff and faculty use; 
  • Provide leadership on the administration of Tableau Enterprise (Server) software assisting with end user access and permission settings of workbook content; 
  • Monitor and initiate (with IT support) version upgrades of Tableau Server and Desktop; 
  • Assist colleagues with obtaining and using internal datasets as required for their work tasks; and
  • Perform other duties as required. 

 

Qualifications

  • 4-year bachelor’s degree in a related field; 
  • Minimum 3-5 years experience in a related field; and
  • Minimum of 5 years experience in an educational institution.
  • Demonstrate the ability to handle sensitive information with a high level of confidentiality and discretion; 
  • Have well-developed problem-solving skills and strong planning skills; 
  • Extensive experience in creating and maintaining databases; 
  • Experience with SQL Server is required; 
  • Experience with Tableau Software, both Desktop and Cloud solutions; 
  • Experience with Datatel/Colleague is an asset; 
  • Experienced in compiling information from multiple sources into summaries and reports; Ability to interpret and analyzes data related to a wide range of functional areas, both academic and administrative; 
  • Ability to exercise good judgment and make sound decisions and creative problem solver;
  • Ability to effectively manage multiple projects in a fast-paced environment; and
  • Ability to work fluently, verbally and in writing, in both official languages, French and English is an asset but not required.


The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
