Responsibilities

Under the supervision of the Manager of Student Awards, Fees and myLaurentian Hub, the Student Fees Officer will work alongside  the  Student Fees Coordinator with updating, testing and maintaining billing tables and the billing system (includes by not limited to tuition, incidental fees, meals plans and residence). The Student Fees Officer will be responsible for the billing and payments of sponsored accounts and act as the main point of contact. The Student Fees Officer will also be responsible for the refunds issued to students (included but not limited to bursaries, overpayment and deposits).

 

The successful candidate will 

 

  • Compile and collect approved departmental, institutional, and miscellaneous billing information;
  • Collect, input, and verify the accuracy of data, test and evaluate fee logic and rules to ensure accuracy in test;
  •  Process and update student billing tables using Board-approved tuition fees and test in live to ensure integrity of data;
  • Troubleshoot registration data and work with the Office of the Registrar to revise data for billing;
  • Process billing adjustments, corrections, and exceptions to student accounts as identified and for late course additions; 
  • Communicate with students if late course billing increases or creates an outstanding balance on the student account;
  •  Assists with the preparation and submission of T2202’s and T4A tax documents to the CRA;
  • Assists the Student Fees Coordinator with audit processes;
  • Review and validate sponsored billing authorizations ensuring sponsored student and sponsor records are up-to-date and accessible electronically;
  • Sending out timely and accurate third-party billing;
  • Analyze transactions to resolve payment disputes;
  • Review and process sponsored student refunds;
  • Payment application and prompt correspondence with sponsors in a professional manner;
  • Liaises with sponsors and Indigenous Learning and Sharing Center to secure additional funding for students or provide guidance on account status;
  • Monthly reconciliation of sponsored student accounts;
  • In conjunction with the International Office and Financial Services, process all UHIP related charges and adjustments;
  • Support student communication by responding to all student account related inquiries.  Responds to account queries by phone, meeting with students/staff/faculty or parents to answer and solve account concerns;
  • Determines and delivers opportunities to improve operational efficiencies;
  • Deliver information sessions on all aspects of Student Accounts;
  • Responsible for documenting all processes and procedures related to the Student Fees Officer role;
  • Provide support and backup to the Student Fees Coordinator and Student Service Representative including but not limited to triaging, and assisting with inquiries of all types and working at the service counter when necessary; and
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s Degree in Administration/Accounting or Finance;
  • 1-3 years experience providing detailed explanation of policies and procedures related to government financial aid programs and customer service;
  • Advanced skills in Microsoft Office including Word and Excel, Google Workspace;
  • Skills and experience using data management systems, creating and manipulating spreadsheets;
  • Excellent interpersonal, cross-cultural, organizational, customer service and problem-solving skills;
  • Extremely good organizational ability and ability to prioritize a diverse workload required; 
  • Ability to handle large quantity of work under pressure and to meet deadlines; 
  • Demonstrated ability with fast and accurate data entry; ability to exercise judgment, accuracy and attention to detail;
  • Adaptability to new practices and procedures quickly and accurately;
  • Expertise in working with confidential information and to ensure privacy of student information is maintained at all times;
  • Familiarity with the university’s student information systems or with a comparable system;and
  • Ability to work fluently (verbal and written) in both official languages, French and English, is required.



 

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
