Responsibilities
Reporting to the Director, Student Success, the successful candidate is responsible for the front counter/receptionist desk and to provide administrative support to the Director, Student Success.
The successful candidate will:
- Direct students and staff to appropriate personnel/services of the Student Success Centre;
- Answer general student questions in person, over the telephone for Student Success units, for student services, e.g., orientation, advising, academic support, writing support, and career services;
- Assist students to navigate student registration and academic tools including Student Planning, D2L, and student portal in person, over the telephone or through email;
- Update student records and maintain and update student forms, documents, letters, emails, etc.;
- Support the Student Success team, with research initiatives and preparation of reports and presentations;
- Generate various reports, upon request, from the Director, Student Success;
- Orders supplies and provides logistical support for Student Success staff for day-to-day operations, onboarding new employees, and students
- Prepare bi-weekly and monthly payroll forms for students and staff;
- Prepare budgetary reports and track expenses for Director, Student Success as necessary;
- Book meetings and prepare meeting materials for the Director, Student Success as necessary;
- Prepare invoices and reconcile expense statements for various Student Success units;
- Book Student Success spaces or events for both internal and external stakeholders and;
- Other duties as assigned.
Qualifications
- Two-year post-secondary study in office administration, or related field, Bachelor’s degree preferred
- Three to five years of experience related experience in a post-secondary setting
- Demonstrated high attention to detail
- Proven ability to prioritize and multitask to meet deadlines
- Solid analytical and problem-solving skills
- Ability to work under pressure in high-volume
- Strong interpersonal and customer service skills
- Strong knowledge of computer software and systems including, but not limited to: Fusion, Datatel, Microsoft Office, Webdvisor, Student Portal, Databases, etc.
- Ability to work independently and as a member of a team
- Knowledge of university policies and procedures and;
- Ability to work fluently in both official languages (French and English)
The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
