Co-op Coordinator - Dean of Science, Engineering and Architecture

Responsibilities

Reporting to the Dean of the Faculty of Science, Engineering and Architecture the successful candidate will
administer the co-op placements and internships for both undergraduate and graduate programs in the
Faculty of Science, Engineering and Architecture. The incumbent will continually build relationships with
employers, community partners, teachers, media, etc., and assist in the strategic planning and development
of the co-op programs and internship courses with faculty, School Directors and the Dean (market research,
marketing, etc.). The incumbent will initiate partnerships and represent the Faculty of Science, Engineering
and Architecture at various functions.

  • Ongoing strategic planning and development of co-op programs and internship courses;
  • Researching and keeping up with labour trends, conducting surveys of employers and students;
  •  Establishing/maintaining a database of contacts in relevant fields;
  • Recruiting employers, assessing their needs, informing them of the benefits of hiring our students;
  • Seeking partnerships and community engagement opportunities;
  • Guiding and supporting students, helping them prepare for placements;
  • Designing and facilitating relevant educational presentations to students;
  • Conducting site visits, ensuring completion of contractual paperwork;
  • Tracking results, and reporting to the Dean and the School Directors;
  • Liaising with other school placement coordinators, comparing and analysing other programs;
  • Tracking student and employer data;
  • Monitoring the placement budget;
  • Maintaining membership with Co-operative Education and Work-Integrated Learning (CEWIL) Canada;
  • Promoting the program via various mediums and the media;
  • Promoting the Faculty of Science, Engineering and Architecture programs to industry partners
    as required;
  • Participating in planning events relating to co-op and other program activities;
  • Contacting and liaison activity with prospective co-op employers;
  • Working with a variety of software programs including Explorer, Datatel, Google suite of
    products, Orbis, Windows, and Microsoft Suite and its by-products, Word, Excel and MS
    PowerPoint; and
  • Performing other duties directly related to this position as assigned.

Qualifications

  • University degree in Public Relations, Communications, Business, Science, Engineering or equivalent;
  • 3-5 years of related experience in co-op education or internship placements;
  • Training in career development;
  • Experience and thorough knowledge of a variety of software programs including Explorer, Google suite of
    products, Windows, and Microsoft Suite and its by-products (including Word, Excel and MS PowerPoint),
    Acrobat Pro – knowledge of Orbis is an asset;
  • Experience with institutional policies, procedures and budgets processes;
  • Experience in event coordination is an asset;
  •  Strong communication, interpersonal and public relations skills;
  • Excellent time management and organizational skills with ability to prioritize multiple responsibilities,
    work under pressure to meet deadlines while contending with multiple distractions;
  • Ability to identify information, materials and resources required to complete tasks with attention to
    details;
  • Ability to recognize, analyze and identify shortcomings and problems;
  • Motivated, with excellent critical thinking skills to strategize and formulate solutions;
  • Motivated, with ability to adapt to a changing and diverse environment;
  • Ability to work both collaboratively and independently under minimal supervision;
  • Must be mature, professional and self-sufficient, with ability to maintain discretion and confidentiality; and 
  • Ability to work fluently at a professional level, orally and in writing, in both official languages, French and
    English.

 

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
