Responsibilities

Working as part of the Centre for Teaching and Continuing Learning team (CTCL), the incumbent provides student communications and other administrative support services via phone, email and in-person to students, staff and faculty. This position also completes administrative support duties under the direction of the Director, the Manager, Laurentian Online and the Manager, Micro-credential and Non-credit programming.

Communication

  • Responds to various inquiries in writing, and over the telephone from students, faculty, staff and the general public concerning programs and courses of CTCL - following program guidelines, manuals, Intranet/Internet and other information provided by Laurentian personnel;
  • Direct students to appropriate departments for troubleshooting (IT for password issues, Registrar for enrolment issues, Admissions for confirmation of receipt of transcripts, etc...)
  • Sorts mail and distributes to various members of CTCL;
  • Monitors and creates social media posts for CTCL (facebook, LinkedIn and Instagram, etc.)
  • Participates in CTCL, Laurentian Online and Micro-credential and Non-credit programming unit team meetings to keep informed of all operational activities, decisions, changes, etc... that have a direct impact on communication with students, staff and instructors/course supervisors;

Administrative support services

  • Assists in the onboarding and registration of non-credit students;
  • Books meetings (both virtual and in-person) and takes minutes;
  • Creates surveys, presentations and promotional materials as required;
  • Supports the Quality Assurance portfolio with tracking and information gathering;

Other duties

  • Generates various reports (i.e tracking documents) upon request from CTCL director and/or managers, personnel;
  • Abides by the Occupational Health and Safety Act and its regulations, as well as the Health and Safety policies; and
  • Perform other duties as assigned.

 

Qualifications

  • Bachelor’s degree in Education/Business
  • 1 to 3 years related and relevant experience is required
  • Strong interpersonal and communication skills - deal efficiently, pleasantly, and diplomatically with staff, instructors, course supervisors, students, management and other personnel from various internal departments
  • Capable of handling crisis situations and intervene with students/staff/management with emotional instabilities
  • Excellent telephone personality and communication skills
  • Ability to deal with people of varying cultures and attitudes
  • Work under very stressful conditions
  • Ability to set priorities
  • Detailed knowledge of Microsoft Office software
  • Detailed knowledge of GSuite applications; and
  • Ability to work fluently (verbal and written) in both official languages, French and English, is required.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
