Responsibilities

The Business Manager provides the Dean of Education and Health with comprehensive management support in finance, budget, financial compliance, and financial reporting. In addition, they assist with administrative policy development and implementation, reporting, data/statistics collection, personnel management and recruitment (including publications/advertising), and the day-to-day operations of the Faculty of Education and Health.

Financial Responsibilities

  • Preparing and monitoring annual Faculty budget; provide informed counsel to the Dean in budget matters including analysis, implementation and monitoring. This includes:
  • Monthly financial statements for the Dean;
  • Quarterly and year end budget reports;
  • Recommendations for short and long-term fiscal commitments;
  • Compilation of statistics and summary reports as required (analyzing Tableau data, enrollment and staffing statistics, budget impact, etc.);
  • Execute a system of internal finance controls to ensure reasonable assurance that financial operations are effective and efficient for the Faculty, track and evaluate current and fixed assets, audit/review fiscal policies and operating procedures, and ensure compliance with financial reconciliation processes;
  • Ensure records and invoices related to purchases and expenditures are accurate and readily available; process orders and invoices in a timely, accurate manner and in accordance with University policies and procedures;
  • Provide expertise and assistance with research grants and accounts, and prepare reporting of same for internal stakeholders (e.g. ORS, Finance, VPAP);
  • Oversee all financial matters and spending requests related to sessional allocations;
  • Project fiscal impact of proposed initiatives and monitor implementation budgets.

Human Resources Management and Supervisory Responsibilities:

  • Assist with preparation of LUAPS and LUSU job postings and contracts;
  • In consultation with the Dean, develop and implement administrative procedures and practices and ensure Faculty compliance with University policies and procedures with regard to hiring, sessional appointments, sabbaticals, performance reviews, student appeals, etc.;
  • Facilitate staff recruitment and selection in coordination with Human Resources and Organizational Development
  • Evaluate and manage the performance of reporting staff members, and work with Human Resources in this area as needed. 
  • Oversee day-to-day operations of the Faculty’s Resource Centre, materials procurement and staffing;
  • Oversee the integrity, confidentiality and maintenance of the academic and administrative files in the Faculty in accordance with University policy and collective agreement requirements;
  • Provide new hire orientation to the Faculty and approve or recommend training and professional development of staff.

Administrative Functions

  • Provide bilingual administrative service for the Dean;
  • Make recommendations to the Dean on the development, delivery, and implementation of administrative policies/procedures of the Faculty;
  • Assist with purchasing office equipment and furniture;
  • Oversee and review usage of supplies and consumables;
  • Complete special projects and tasks as assigned by the Dean that may include but are not limited to: committee involvement; planning of Faculty events, conferences and retreats, delivery of presentations, and participating in program development;
  • Liaise with Recruitment office in the organizing Faculty of Education and Health participation at campus and provincial recruitment events;
  • Ensure the implementation of and compliance with matters pertaining to Accreditation and Quality Assurance throughout all Faculty units;
  • Oversee the digital presence of the Faculty, included but not limited to the Faculty website content and currency, and oversight of social media presence, manage the development of print media associated with the Faculty; provide Faculty information to other campus units and community partners related to marketing and media (e.g. Viewbook, Digital Strategy, ORS, media outlets, etc.).
  • Other duties as assigned by the Dean

Qualifications

  • Bachelor’s degree in a related area (preferably in Administration, Finance, Accounting, Education);
  • Demonstrated experience with spreadsheets, databases and financial applications and/or systems,
  • Demonstrated experience in computer programs including Excel, Word, PowerPoint, and G Suite applications;
  • Ability to communicate fluently in both official languages (French and English) is a requirement for this role. 
  • Ability to prioritize, take initiative and work effectively as part of an administrative team;
  • Ability to critically read and interpret data;
  • Excellent analytical, consensus building, and problem solving skills;
  • Demonstrated communication and interpersonal skills, ability to interact well in a positive and professional manner, using tact and diplomacy;
  • Ability to maintain confidentiality, exercise initiative, independent judgement, and discretion;
  • Strong organizational and time management skills, ability to prioritize workload in an efficient manner and balance competing priorities.

Additional Preferred Qualifications

  • 3-5 years of previous supervisory experience;
  • Experience working in a post-secondary environment considered an asset;
  • Demonstrated experience with human resources, budget and project administration;
  • Familiarity with accreditation processes preferred (e.g. Ontario College of Teachers, Canadian Association of Schools of Nursing, Canadian Association of Social Work Education; Canadian, Council for Accreditation of Canadian University Programs in Audiology and Speech-Language Pathology);
  • Prior experience with financial and administrative strategic planning in an educational or business environment considered an asset; and,
  • Knowledge of academic and administrative structures, policies and procedures of Laurentian University will be considered an asset.

 

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week. 

 

Effective May 1, 2022 the Policy and Program on COVID-19 Vaccination are placed in abeyance.

This means the Policy and Program on COVID-19 Vaccination are paused at this time; however, they are not canceled and could be reinstated at a future date if public health conditions warrant it, or through guidance from federal, provincial or local public health authorities. The evolution of the virus and the course of the disease activity are difficult to predict and it may be necessary to reinstate the Policy in full or in part, on short notice. 

When the Policy and Program on COVID-19 Vaccination are paused, persons entering Laurentian’s campus will no longer be required to provide proof of vaccination in order to attend campus.
