Responsibilities
Reporting to the Associate Vice-President, Faculty Support, the full-time Faculty Support Assistant will provide bilingual administrative assistance to the Office of Faculty Support. The successful candidate will play a crucial role in file management, grievance and issue tracking, and faculty hiring, while also administering and coordinating a variety of projects for the area. The successful candidate will work closely with Schools and Faculties to provide timely assistance and guidance.
RESPONSIBILITIES AND DUTIES
- Gather information and data for the purposes of mandatory Collective Agreement reporting;
- In advance of arbitration/mediation or in response to grievance or collective agreement matters, assist in gathering information for briefs, files and/or reports for the Academic Labour Relations team;
- Research relevant Articles in the Collective Agreement, past practice and precedents on an ongoing basis to assist the team in ensuring proper and consistent labour practices;
- Organize and maintain confidential files such as Minutes of Settlement, arbitration decisions, memorandum of agreements, etc.;
- Coordinate and schedule meetings;
- Maintain database of processes and procedures to be able to establish/maintain a record of matters arising from collective agreements;
- Maintain and update website content with relevant Faculty support materials;
- Develop and maintain systems and lists for the effective keeping of personnel records and all other records pertinent to Faculty support including archives;
- Calculate sabbatical credit and stipends for Chairs/Directors and prepare resulting documentation;
- Maintain all-encompassing grievance tracking list and prepare grievance reports for leadership and/or the Board of Governors;
- Provide support to Schools and Deans throughout the Faculty hiring process; and
- Perform other duties as assigned.
Qualifications
- Diploma in Human Resources Management is required;
- Two years of recent related experience;
- Ability to problem-solve, resolve concerns and escalate conflicts appropriately;
- Strong attention to detail;
- Exceptional customer service skills;
- Interpersonal skills, with the ability to build rapport with a diverse group of individuals.
- Ability to prioritize and organize in a fast-paced, high-volume environment;
- Able to maintain a high level of confidentiality;
- Able to work independently and take initiative as well as perform effectively as a member of a team;
- Oral and written competency in both official languages (French and English) is required;
- Strong computer skills, with experience with Google Suite, Zoom, Word, Excel, email, tracking systems, etc.; and
- Ability to work fluently (verbal and written) in both official languages, French and English, is required.
The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
