Responsibilities

The Pension Member Services Coordinator provides members with accurate, relevant, and timely information about their pension benefits and assisting members through personal life events and maintaining pension plan records and systems. 

Responsibilities include, but are not limited to the following:

  • Respond to member queries, process event transactions, and follow up on expected or outstanding member related information.   Triage member questions to the most appropriate resource;
  • Build and maintain professional relationships with members by managing requests and informing members on various options to assist with decision making regarding their transaction;
  • Actively monitor the telephone and email queries and ensure they are addressed in a timely manner;
  • Accurately enter and maintain member employment and personal information in pension, human resource and payroll files and systems;
  • Process event-related transactions (e.g. retirement, terminations, transfers etc.); 
  • Proactively keep a member's file up to date, e.g. contact information, review unbalanced report;
  • Coordinate and perform  monthly uploads to the pension system, enter pension adjustments and prepare pension year-end functions;
  • Follow pension plan provisions, standards and regulations;
  • Maintain various databases used to track pension payments paid to pensioners;
  • Maintain pension information on pension planning website and intranet;
  • Assist in benefits and administrative Human Resources functions as needed;
  • Gather information required for the yearly audit;
  • Perform other duties as assigned.

Qualifications

  • Completion of a post-secondary  education is an asset, in a related field such as business or accounting, or an equivalent combination of education, training, and experience;
  • 2-3 years experience maintaining pension and/or similar types of records and systems;
  • Completion of Pension Plan Administration Certificate (PPAC) is considered an asset, but not required;
  • Customer service oriented with a minimum of two (2) years experience providing customer service;
  • Strong communication skills (both verbal and written) and an ability to communicate information clearly and at a level appropriate for the member, be professional and articulate;
  • Excellent time management skills: ability to plan, and prioritize workload as well as adaptability to a changing multi-tasked environment;
  • Good logic and excellent detail orientation, with the ability to grasp details and provide accurate and thorough information;
  • Ability to identify service or process opportunities that will enhance the member experience;
  • Advanced computer skills, including experience with database management and excellent knowledge of spreadsheets;
  • Experience solving problems and the ability to identify and research issues; 
  • Good understanding of confidentiality and understanding of personal and privacy legislation requirements;
  • Ability to work fluently, orally and in writing, in both official languages, French and English.

 

Hours of work are based on the normal operating hours of the University and are Monday to Friday 8:30 a.m. to 4 p.m. (Summer hours) and 9 a.m. to 4:30 p.m. (Winter hours), amounting to thirty-three and three-quarter (33.75) hours per week. 

Effective May 1, 2022 the Policy and Program on COVID-19 Vaccination are placed in abeyance.

This means the Policy and Program on COVID-19 Vaccination are paused at this time; however, they are not canceled and could be reinstated at a future date if public health conditions warrant it, or through guidance from federal, provincial or local public health authorities. The evolution of the virus and the course of the disease activity are difficult to predict and it may be necessary to reinstate the Policy in full or in part, on short notice. 

When the Policy and Program on COVID-19 Vaccination are paused, persons entering Laurentian’s campus will no longer be required to provide proof of vaccination in order to attend campus.
